1. Start with a controlled Job Order
Record employer, role, quantity, salary/benefits, candidate requirements, target dates, commercial terms and documents in one job record. Do not start sourcing from an informal instruction that cannot later be verified.
2. Build a readiness filter
Separate “interested” candidates from “submission-ready” candidates. Use clear minimum criteria for CV quality, experience, documents, assessments and availability.
3. Track processing as stages
Medical, document attestation, visa submission, approval and travel should each have an owner, date, supporting record and next action.
4. Communicate from a shared record
Use approved templates for appointment reminders, delays, document requests and travel updates. Important communication should be visible to the team.
5. Close the loop after arrival
Record flight, pickup/arrival confirmation, employer handover and early aftercare. Use complaints and outcomes to improve employer and vendor decisions.
