Questions agency owners usually ask.
Clear answers on pricing, data, compliance, export and customisation.
Why not Excel?
Excel is useful for analysis and simple trackers. The problem appears when the same candidate, employer, document and status must be updated across multiple files by several people. TalentFlow is designed to keep related recruitment activity in one operational record while still allowing exports.
Why KES 10,000/month?
The Pioneer Programme fee includes 5 users, 10 GB storage, 300 system emails per month, one scheduled backup every 7 days, email support, hosting, routine maintenance and bug fixes within the agreed shared-platform scope. It is billed quarterly at KES 30,000 and the Pioneer service rate is fixed for the first year.
Can you reduce the setup fee?
The published Pioneer implementation is KES 93,000. If scope changes, it should be discussed explicitly rather than hiding implementation work inside the monthly fee.
Is our data safe?
TalentFlow is designed around tenant separation, role-based access, controlled file access, backups and auditability. Final security commitments depend on the deployed architecture and the signed service terms; see the Security page for the current design principles.
Can my competitors see my candidates?
The product is designed as a multi-tenant system where each agency’s records are isolated from other agencies. Cross-agency access should not occur unless a specific shared-data feature is deliberately implemented and authorised.
Is there a candidate limit?
We do not publish an artificial candidate-count cap for Pioneer agencies. The package includes 10 GB of storage, so the database can continue to grow until the agency genuinely outgrows the included storage allowance.
How often is our data backed up?
The Pioneer package includes one scheduled backup every seven days. More frequent backup and enhanced disaster-recovery requirements can be offered separately in future or quoted where needed.
Can we export our data?
Data export is part of the product design. Exact formats, permissions and bulk limits should be defined in the package and implementation scope.
Can you guarantee NEA compliance?
No. Software can support record-keeping, consent, audit trails, document controls and reporting, but regulatory compliance depends on your agency’s legal obligations, policies, processes and actual use. TalentFlow should not be presented as regulatory certification.
Can this help restore our licence?
TalentFlow can help an agency organise records and demonstrate stronger operational controls, but it cannot restore, guarantee or influence a licence decision. Licence matters should be handled with the relevant authority and appropriate professional advice.
Can you customise it?
Configuration within supported settings and workflows is part of the product approach. Custom development or integrations outside the standard product should be analysed and quoted separately so the core platform remains maintainable.
